Dash is partnering with Vertical Insure to offer ViCoverage, a flexible coverage solution with two optional coverage types. Refund Protection reimburses registration or booking fees if a covered life event prevents a customer or their child from completing a program or attending a booking. Accident & Injury Coverage helps cover out-of-pocket medical costs if a participant is injured during a covered program or activity.
Customers can purchase either coverage type, both, or decline all coverage. Customers get peace of mind. You keep your revenue. Claims are handled entirely by Vertical Insure, so your team doesn't need to process refunds or handle claim decisions. ViCoverage is automatically enabled for all customers, and there is no cost to your organization to offer it.

In Dash, select Admin from the top menu.
From the selector menu, select Integrations & Add-ons.
In the Integrations section, scroll down to locate the VI Coverage card.
Click Edit Settings on the VI Coverage card.
A slide-out panel will open with your ViCoverage settings options:
Enable ViCoverage toggle - Turn the entire feature on or off for your customers
ViCoverage Products - Select which coverage types you want to offer by checking the boxes. You can offer Refund Protection only, Accident & Injury Coverage only, or both. Customers will see whichever options you select at checkout.
Click Save Settings to confirm your choices.
By default, ViCoverage is enabled and both coverage types are selected. To disable ViCoverage entirely, toggle it off. To limit which coverage types appear to customers, uncheck the coverage type(s) you don't want to offer.
⚠️ Important: The initial offering of this integration does not support the ability of using Purchase Protection for purchases made with a payment plan. Customers can only add coverage to one-time transactions.

When your customers register for eligible programs in the Customer Portal, they see the option to purchase coverage during checkout. Customers can choose to add Refund Protection, Accident & Injury Coverage, both, or decline all coverage.

⚠️ Important: ViCoverage policies are not available for programs located in Quebec. Vertical Insure handles this restriction automatically, so no action is needed from your facility. Customers in Quebec programs will not see coverage options at checkout.
ViCoverage appears at the final stage of checkout when a customer registers for an eligible program. Customers can choose to add Refund Protection, Accident & Injury Coverage, or both before completing the transaction.
Not all programs are eligible. Eligibility is determined on a case-by-case basis by program cost, program type, and risk level. Most program registrations offer coverage, but non-registration purchases such as rentals, memberships, passes, gift cards, and food items are typically not eligible. In the initial offering, ViCoverage is also not available on purchases made with a payment plan.
Additionally, there are a few reasons why customers may not see coverage options at checkout. In some cases, Vertical Insure isn't able to generate a personalized offer because they didn't receive all the information needed to generate a quote. Additionally, customers must have a birth date on file in their account to see Accident & Injury Coverage options. If a customer has not provided their birth date, only Refund Protection will be available at checkout (if applicable).
✍️ Note: Customers manage their own ViCoverage policies. Providers cannot purchase policies on a customer's behalf through the Admin side. Each customer must choose their own coverage options at checkout.

When customers proceed to checkout for an eligible registration, they see a section titled Purchase Protection by ViCoverage. This section displays:
Options to add Refund Protection and/or Accident & Injury Coverage
The premium cost for each coverage type and each participant
Checkboxes to accept coverage for each person registering
Customers can select one coverage type, both, or decline all coverage before completing checkout. However, they must either accept coverage for at least one option or explicitly decline all coverage before they can proceed with their purchase. The checkout button remains disabled until a selection is made.
⚠️ Important: Customers cannot use a saved card or gift card to purchase ViCoverage policies. Coverage must be paid for with a new payment method at checkout. This is separate from their registration payment method.

When customers view their invoice in the Customer Portal, the Purchase Protection by ViCoverage section appears as separate line items for each coverage type purchased (Refund Protection and/or Accident & Injury Coverage). Each shows the policy holder's name, policy number, and the premium amount. The VI coverage amounts are not included in your facility's invoice total. They are separate transactions managed by Vertical Insure.

Customers can view their active policies associated with enrollments on their under "My Enrollments" on the Dashboard in the Customer Portal. This shows them which programs have coverage, and what types. This provides customers with easy access to their policy numbers, which are needed to submit claims.
🖥️ Admin View
Once your customers purchase coverage, you can see who has policies in your system. However, there is no centralized dashboard or report displaying all customers who purchased coverage. Instead, you view coverage information on individual customer records and rosters.
⚠️ Important: Detailed reporting on ViCoverage policy purchases is not currently available in Dash. Policy data and reporting are managed through Vertical Insure's systems.

When a participant with an active ViCoverage policy needs to be removed from a roster or team:
Locate the participant in the roster view.
Click the three dots (menu icon) next to their name.
Select Drop Player from the menu.
A warning will appear reminding you that this participant has paid for their registration or team fees. Confirm that you want to proceed.
Click Yes to confirm the drop.
When a player is dropped from the roster, they are removed from all future events but their payment remains attached to their registration (no refund is issued by your facility). Participants with active policies will automatically receive a roster drop notification from Dash.
⚠️ Important: The roster drop notification serves as documentation that they are no longer participating, which is required as part of the claim filing process.
🔄 Claim Filing Process
When a customer needs to cancel their registration and has purchased ViCoverage, they follow a specific process. It's important to understand that cancellation is separate from the claim filing process. Customers must contact your facility to cancel their registration, and then submit their claim directly to Vertical Insure. Your team does not handle the claim process.

The Claim Filing Flow:
Customer experiences a covered event - Something happens that prevents them from attending (illness, injury, job loss, relocation, military deployment, etc.)
Customer cancels with your facility - They contact your facility to cancel their registration. This is separate from any claim process.
Customer submits a claim to ViCoverage - After canceling or being dropped from the roster, the customer submits a claim directly to Vertical Insure. Customers can log in anytime at customers.verticalinsure.com using the email address from their checkout purchase to view their policies and start a claim. They can also email [email protected]. As part of their claim, they will need their policy number, registration information, and proof that they canceled their registration or were removed from the roster (such as the email notification from Vertical Insure confirming they were dropped).
ViCoverage reviews and reimburses - If the claim is approved as a covered event, Vertical Insure reimburses the customer directly for their program registration fees.
Provider keeps revenue - Your facility knows the customer cannot attend (from their cancellation), does not need to issue a refund, and keeps the registration revenue.

Staff may encounter various cancellation situations depending on program type and how customers registered. The following scenarios show common situations and how ViCoverage claims work in each case.

📚 Class-Based Scenario
A child is enrolled in an 8-week Learn-to-Skate class. After 4 weeks, the family experiences job loss and has to relocate for a new job opportunity.

🎖️ Normal Team Scenarios
Team registrations can work differently depending on how the team manager handles dues. ViCoverage availability depends on whether individual players have a balance at checkout.
Dues Assigned to Players
A team manager registers 15 players and chooses to assign dues to individual players. Each player is responsible for paying their assigned amount when they register.
