Event reminders help keep customers informed about upcoming games, practices, and events. This article explains how event reminders work, how reminder timing and delivery are managed, and how to customize reminder email templates.

Event reminders are managed in multiple areas within Dash.

πŸ”” How Event Reminders Work

Event reminders are automatically sent to customers before scheduled events such as games or practices.

Reminders can be sent by:

  • Email

  • Text message (if enabled and subscribed)

Reminder timing is based on your company-level settings and applies to all eligible events.

⚠️ SMS event reminders rely on mobile carrier email-to-SMS gateway support. Some carriers have discontinued or phased out this service, which may result in intermittent or failed reminder delivery.

⏰ Reminder Timing Settings

Reminder timing and delivery apply to all event reminders, including custom event reminders and game reminders. These settings are managed within the Customer Settings section at the bottom of the Company Settings page.

By default, Schedule Reminders are set to send 2 days prior to the event.

  • Sent to rostered players with a valid email address

  • Sent to family members directly linked to the player

  • Delivered by default 2 days prior to the event

  • Emails are sent automatically around 3:00 AM PST

πŸ“± Text Message Reminder Delivery

  • Sent to customers who are subscribed to receive text messages

  • Require a mobile carrier to be selected on the customer profile

  • Delivered by default 2 days prior to the event

  • Text messages are sent automatically around 12:00 PM (noon)

To adjust reminder timing:

  1. Navigate to Company Settings

  2. Scroll to the bottom of the page to locate Customer Settings

  3. Find the Schedule Reminders setting

  4. Enter the number of days before the event reminders should be sent

  5. Save your changes

Game reminders are a type of event reminder sent automatically for scheduled games. They follow the same company-level reminder timing and delivery settings as all other event reminders.

βœ‰οΈ Customizing Event Reminder Templates

You can customize the email content used for event reminders by copying an existing reminder template or creating one from scratch.

Game reminder templates cannot be edited directly. To customize a game reminder, copy an existing game reminder template and assign the copied version to the appropriate event type.

To customize a reminder template:

  1. Navigate to Email Templates

  2. Copy one of the existing reminder templates, such as Default Game Reminder or Default Other Reminder, or create a new template

  3. Edit the email content as needed

  4. Use Template Variables to automatically insert event details

    • In the Template Variables dropdown, locate the Reminder section to view different variables that can be used.

  5. Click the disk icon to save your changes

Event reminder specific variables will not populate with customer or event data in preview mode. These values will populate correctly when the reminder is sent to customers.

Once a reminder template is created, it must be assigned to an event type.

To assign a reminder template:

  1. Navigate to Event Type Management

  2. Select the event type you want to update

  3. Locate the Reminder Email Template field

  4. Choose your custom reminder template

  5. Save your changes

The selected template will be used for all reminders sent for that event type.

  • ⚠️ Days are adjustable, time is not - You can control how many days in advance reminders are sent, but the time of day emails and texts are delivered is system-controlled and cannot be changed.

  • 🧠 Default templates must be copied - Default reminder templates cannot be edited. You must copy a default template before making any changes.

  • πŸ“Œ Use Reminder Only variables - These variables ensure dates, times, and locations populate correctly when sent.
