Learn how to use Availability Search to find open time slots across your resources and create bookings directly from the results.

Availability Search allows you to quickly find open time slots across your resources based on specific criteria like location, date, duration, and amenities, and create bookings directly from the results.


πŸ› οΈ Setup

Before using Availability Search, a few things must be configured first.

⚠️ Important Note: Availability Search requires Booking Options to be established and assigned to your Resource and Resource Type Setup. You will also need Event Types configured for the Booking Manager to work properly.

There are a few ways to access this page.

πŸ“ Accessing the Page

  1. Type in "Availability Search" in the Global Search box, then select Resource Availability Search.

  2. From the calendar page, there is an icon to link you to the Availability Search page.

  3. The Availability Search page can also be directly from the Calendar navigation dropdown.

Use the following fields to filter your search:

  • Location: Select one or more locations, or choose All Locations.

  • Start Date: Enter the date you want the first booking to begin.

  • Time Length: The desired duration of the event.

  • Start & End Time: The range of times to search for open space.

  • Resource: Optionally filter results to specific resources or leave set to all.

  • Resource Type: View availability by resource groups. Note: Booking Options can be assigned to Resource Types and added to individual Resources.

  • Amenities: Filter by a resource's amenities (e.g., looking for a Conference Room on the 13th for 60 minutes that includes a projector).

  • Repeat Event: To search for multiple days, enable the Repeat option. Choose Daily, Weekly, or Monthly recurrence and set an end date or number of events.

After running your search, a list of available options matching your criteria will appear.

  • Resource: Displays the resources that match your search filters.

  • Start Time: Only open times will appear. The end time adjusts automatically based on your selected Time Length.

Check the box next to a result to lock in that time slot. You can continue searching for additional openings or proceed to create your booking.

Click the arrow to view the process of creating a booking

After selecting the events you want to create, you will see the modal pop up to Create a Booking. Enter the name of the booking, attach the customer, and select the event type.

From the Booking Manager, you can make additional edits such as adding fees, including Rental Items like tables and chairs, or sending a contract to your customer.

  • πŸ“Œ Save time on recurring reservations - Use the Repeat Event option when booking recurring leagues, practices, or rentals to find all available slots at once instead of searching day by day.

  • ⚠️ Set up before you search - If search results are not returning expected availability, confirm that Booking Options are assigned to your Resources and Resource Types before troubleshooting further.

  • 🧠 Use Amenities to narrow results - If your facility has resources with varying features (projectors, scoreboards, sound systems), tagging amenities to resources makes Availability Search significantly more useful.

  • πŸ’¬ Lock in first, adjust in Booking Manager - Don't worry about getting every detail perfect during the search. Lock in your time slots, then use Booking Manager to add fees, rental items, or contract details.
