Where

There are a few ways to access this page:

  1. Type in "Availability Search" in the Global Search box.

  1. From the calendar page, there is an icon to link you to the Availability Search page.

How

First Steps: In order for the Availability Search to work, you must first have Booking Options established and assigned to your Resource and Resource Type Setup. This determines how the search will look for open space in the calendar. You will also need to make sure you have your Event Types set up properly in order for the Booking Manager to work properly.

Location: Add the Location(s) or All Locations you are interested in viewing space for.

Start Date: Enter the date you are wanting the first booking to begin on.

Time length: The desired event length.

Start and End Time: The range of times you are looking for open space.

Resource: If you like, you can select to only see openings on specific resources or all.

Resource Type: View availability based on groups of Resources. Note: You can assign Booking Options to Resource Types and add Resource Types to your individual Resources.

Amenities: Search for openings based on a Resource's amenities. For example, I may be looking for a Conference Room on the 13th for 60 minutes that has a Projector.

Repeat Event: If you need to look for more than one day's worth of openings, select the Repeat option. You can choose to have Daily, Weekly, or Monthly events and can select an end date or decide on how many events you would like to see.

Search Results

A series of results will be provided depending on the number of events you have selected.

Resource: you will see a list of options that match your criteria for you to choose from.

Start time: Select the desired time frame you want your event to start. Only open times will display. The end time will automatically change once you select a start time depending on what you have chosen as the Time length.

Once you have everything set, you can check the box next to the day. Once you have done this, it will "lock in" that time. You can then search for other openings if you like or press the green "Create Booking" option.

Create a Booking

After selecting the events you want to create, you will see the modal pop up to Create a Booking. Enter the name of the booking, attach the customer, and select the event type.

In the Booking Manager, you can choose whether you want to make any additional edits to the events such add additional fees, include Rental Items like tables and chairs, or send the contract to your customer.
