📝 Overview
The Open Availability Report helps staff find open time slots across selected resources like rinks, fields, or rooms. It’s ideal for responding to customer booking requests or planning internal schedules.
🔑 Authorizations
No special permissions are required beyond access to the Reports module.
📍 Where to Find It
To access the Open Availability Report, you have two options:

From the navigation menu, go to:
Reports → All Reports → Programs → Open AvailabilityOr, use the global search bar at the top of your screen.
Type "Open Availability" and click the matching report name from the search results.
Both options will take you directly to the report screen where you can begin filtering.

Apply the following required filters:
Location
Time Length (Min)
Start Date / End Date
Resource(s)
Optional filters:
Start Time / End Time
Resource Type – Filters which resources appear in the selector.
Days of the Week (DOW) – Select specific days to include.
Click Search to display results.
In the results table:
Columns include: Resource, Date (clickable), Day, Start Time, End Time, and Available (duration)
Click a Date to jump directly to the calendar
Sort results by clicking any column header
Use Show All Entries to remove pagination
Export to PDF or Excel using the buttons above the table

💡 Pro Tips
⚠️ Avoid system timeouts: Limit searches to 1–2 resource types and a few months at a time.
🧠 Use “Show All Entries” before exporting to sort/filter your full results on screen.
💬 Need a printable version? Click PDF for a clean, client-ready layout.
⛔️ Don’t run large, unfiltered searches—it may slow the system or return too many results.
📌 You can now click the date in the report to jump directly to that date’s calendar view for booking.

What if no results appear in the report?

Make sure you’ve selected specific resources and narrowed your date range. Also double-check time filters—if they’re too restrictive, they may exclude valid results.
Why doesn’t my resource appear in the list?

Can I book directly from this report?

Not directly, but clicking a Date link will take you to the calendar where you can add a reservation.
How is the available time calculated?

It’s the time between the last booked event and the next event—must meet or exceed the Time Length you selected.
Can I export just a few rows instead of the full report?

No. You’ll need to filter first, then export either the full visible report or copy/paste only the rows you need from Excel.
