Overview:

The report allows users to see the available resources chosen in a clear way and print the results in a well-formatted manner. By narrowing down the search by a specific length of time, date range, resource or even day of the week, you can send a customer a specialized report of open time for their needs.

How It Works

NOTE: At this time the search parameters need to be somewhat limited in either time (not for a long span of time) or not searching for a large amount of resources at one time. This will cause a memory error if it is too large of a search. Ideally searching for a couple month time period for a specific resource type will work.

  1. In the global search filter, type in "Open Availability Report"

  2. By default, the location you are logged into will appear.

  3. The time length entry is a required field. For the amount you enter, the system will look for blocks of time in the calendar with at least this amount free.

  4. The start and end date are also required and allows you to limit the span of time to pull the data from.

  5. The start and end times are not required but can be helpful when trying to find a specific time period for a customer or to see actual times available when the facility is open for business.

  6. By selecting a specific resource type(s) you can help limit the number of Resources that appear in the next filter selection. This is also not required but helpful.

  7. Resource(s): This is a required field where you can select individual resources or even sub resources to view.

  8. DOW: If you know you are only looking for open slots on the weekend, then filter your results by Sat and Sun.

How It Looks

After clicking "Search" the results will appear below. By default, if this report has more than 50 lines, it will be paginated. You can click the "Show All" entries to view everything on one screen. This can help with sorting and filtering by columns.

Exporting Results
This report can be exported to either Excel or PDF. If you export this to Excel you have the ability to adjust and display the data as you please. When exporting this to PDF, you will get a version that includes the following details that can be shared with a customer:

  • Location address

  • Search parameters

  • Date and time stamp when report was run

  • Resources included
