  • Booking Report - View all rental events showing customer names and event types.

Game Officials - Export Game details in CSV format for Excel.

Simple Roster View or print a program roster or waitlist.

Booking Reports


Booking Report

This report lists all bookings. Information displayed include booking number, name, customer, invoice number, amount invoiced and amount due. The Options panel allows you to filter bookings by date range and event type. If you know a booking ID, you can look enter just that number to display information for the given booking event. If you leave the "show event detail" checked, you will also see event times and each individual event cost.

Location Schedule

This report allows you to view a resource schedule for a given date range that covers a given resource or resources at a selected location or locations. For example, this general approach allows you to view the schedules for all basketball courts at those locations with courts, or all meeting rooms at all facilities, or all video projector and TV resources at a single location.

Location Usage

Similar to the Location Schedule report in usage, the Location Usage report allows you to view past resource usage over a given date range at a selected location or locations. Results displayed include hours available, duration, hours used, and total fees paid. This report does not take into effect events and billing created through the booking manager.

Customer Reports

Gift Card Balances

This report shows the status of all gift cards issued to a customer, including the card price and the balance used.

Instructor Roster

This report shows all rosters associated with an instructor. With this report, instructors can see all classes or other activities that they are assigned to, plus a roster for each class or activity that includes name, phone and email for everyone on the roster.

Instructor Payment Per Session

Report to view instructors assigned to "per session" type of events within a specific time period to track registration numbers, attendance, instructor rate type (hourly, per registrant, percentage, etc), and amount owed to employee for each event.

New Customers

This report shows all new customers added to the system, including their names, contact information, team or class name if any, location and program name. Recent purchases are shown as well.

Suspended Customers

This report shows the status of all suspended customers. For each customer, you will see the suspension start and end date, the employee who reported the suspension, and a comment field that can be used as desired, typically to describe the incident precipitating the suspension. Note that most suspensions are for players on teams, so a Team field and a Foul field are also provided.

Expired Membership

Use this report to identify expired or unpurchased customer memberships for the current season based on location and birth date.

Financial Reports

Cash Basis by Customer

This report shows all transactions sorted by customer name for a given time period at a given location. The report can also be filtered by GL code and by customer tags. If you know a customer's Customer ID, a field is provided for quick look up of the given customer. When you click on the "show invoice details" box, you can then see what items were in the invoice.

Cash Basis & Accrual - GL

This report shows all cash transactions sorted by GL code for a given time period at a given location. The report can be filtered by selected GL codes. The report displays accrual basis and cash basis numbers and the difference between the two. This also reports on resident vs. non-resident pricing. Note a grand total is displayed for selected GL codes, as well as a grand total less any Gift Card transactions.

Revenue Comparison

This report compares multiple seasons by enrollment and revenue. A Prior Year To Date column shows season numbers, if they exist, for the same season and same date in the previous year.

Sales by Class or Camp

This report shows sales of class or camp products at a particular location. The Options panel allows you to filter your report and narrow it to a date range for one or more class seasons (or camp seasons). Note that the report breaks out different sessions of the same camp at the same level, and provides a total for the level. Discounts are shown as well as the amount due.

Sales by Per Session

This report shows sales of products in a per-session season. For example, drop-in activities or summer camps. The Options panel allows you to filter your report by Location(s), Season(s), date range, Day of Week of the program, and more. Note that the report breaks down by Location-> Season-> Level-> Group-> Event Date. The data given is customers registered, Total Revenue, Discounts, Net Sales, and Passes Used. See an example, below.

Sales by Employee

This report shows sales by employee, providing a breakout of items sold and total sales for each employee. The Options panel allows you to select a date and a location for your report.

Sales by Team

This report shows all sales to teams, showing amount billed, employee credits, discounts, and amount due. Use the options panel to select one or more seasons and a date range for transactions. Note that the report breaks out different teams in each league, and provides a total for the league (i.e., the level). Discounts are shown as well as the amount due. Also, an employee credit column lists discounts provided to employees who are playing in the league.

Unearned Revenue - Camps

This report shows monthly unearned revenue for camps. Unearned revenue is a characteristic of accrual accounting where revenue is earned when camp sessions are held rather than when they are paid for, as with cash basis accounting. The camp unearned revenue report below shows for each camp session the billed amount, the unit price, the monthly distribution of camp enrollments, and earned revenue, total revenue and unearned revenue as of the given month.

Total revenue for a given camp session equals the sum of earned and unearned revenue from the prior month plus newly invoiced sales. The actual calculation for unearned revenue is made by taking the number of sessions remaining, multiplying by the unit price, and subtracting that from the total revenue to date.

Unearned Revenue - Class

This report shows monthly unearned revenue for classes. Unearned revenue is a characteristic of accrual accounting where revenue is earned when classes are held rather than when they are paid for, as with cash basis accounting. The class unearned revenue report below shows the distribution of class sessions, the total unearned revenue for the prior month, and any new invoiced sales for the month being reported on.

Total revenue equals the sum of earned and unearned revenue from the prior month plus new invoiced sales. The actual calculation for unearned revenue is made by taking the number of sessions remaining, multiplying by the price per class, and subtracting that from the total revenue to date.

The user has the ability to run it for all locations and show any seasons that have any transactions during that time period.

Unearned Revenue - Team

This report shows monthly unearned revenue for Team seasons. Unearned revenue is a characteristic of accrual accounting where revenue is earned when games are held rather than when they are paid for, as with cash basis accounting. The league unearned revenue report below shows for each game the billed amount, the unit price, the monthly distribution of team enrollments, and earned revenue, total revenue and unearned revenue as of the given month.

The actual calculation for unearned revenue is made by taking the number of games remaining, multiplying by the unit price, and subtracting that from the total revenue to date.

Unearned Revenue - Memberships

This report shows total monthly revenue for memberships (earned and unearned revenue). Unearned revenue is a characteristic of accrual accounting where revenue is earned as time elapses rather than when memberships are paid for, as with cash accounting. The report breaks out all membership revenue into three tables: total revenue, earned revenue and unearned revenue. Each table lists all membership types and their associated GL codes, followed by the amount of revenue (i.e., total, earned, or unearned) in each of the preceding 12 months. The Total column sums up revenue for the trailing twelve months.

Dated Customer Account Credit

This report shows the sum of all invoices by customer where the sum is a credit.
It also displays Account Activity. The most recent date/time of either an invoice or payment.

Financial Program Reports

Pass Report

A report that is used for the tracking of sales and the usage of passes.

Revenue Detail

This versatile report shows detailed revenue by customer for seasons, levels and groups within levels. The report can be filtered by any of these groupings and by date range. Output of the report shows the customer name, an invoice number linked to the actual invoice, any discounts, the net price and the invoice balance.

Rental Revenue and Usage Report

This report displays the revenue for events created through the booking manager or online and organizes it by resource.

Season Revenue Comparison - Class

This report is useful for comparing the current status of program registration in a season with other past program registrations. Most often this is done by comparing the current season with the same season the year before. Especially helpful is the ability to see "year-to-date" numbers that show how registration compares on a day-by-day basis. This way you can see if you're doing better or worse than last year, and take action to improve registration immediately before registration is complete.

Both enrollment numbers and registration revenue are displayed. With the two types of information you can see, for example, the independent effects of a price increase on enrollment and revenue.

Product Reports

Product Report

This report shows a listing of all products available at one or more locations. This is useful for keeping track of inventory levels across multiple sites. By using the Options panel "Quantity less or equal" field, you can check to see which products need to be re-ordered.

The output of the report includes the product name, price, quantity on hand, the product's UPC code, location, the global price (which may differ from the local price), the product category and subcategory, and cost. For apparel items, Gender and Size fields are also available.

Program Reports

Admittance Detail

This report shows all those admitted to a location for a particular date range. Only programs such as memberships and camps that track admittance are shown. Report output shows the name of the customer, a time stamp, the membership type associated with the admittance and the location where the customer was admitted. Sub-totals for different membership types are tallied as well.

Admittance Summary

Similar to Admittance Detail, this report shows admittance by location in a given date range. It summarizes all admittance by membership type and also gives an overall total summing up the membership subtotals.

Consolidated Attendance Sheet

This report consolidates creation of attendance sheets for programs. The Options panel allows you to filter by camp, class or team; by season, by location and by date range. The output of the report is one or more attendance sheets per program. Each attendance sheet lists all the customers on the program roster and their phone numbers. Note that attendance can also be taken online, but in many cases using an attendance sheet is more practical.

Game Officials Export

This report shows game detail for export to scheduling programs for officials. The Options panel allows you to filter by location, season and level (or seasons and levels) and crew size. The output format includes fields for game number, date, start time, age, level, gender, location, home team, away team, crew size, game description, crew description and notes.

Simple Roster

This report shows a the list of customers on a simple roster or waitlist. The report can be filtered by date range and the name of the given class, camp, team or event. Note that you can use this roster report for drop-in events or for free agent and house teams.
