If a bank debit transaction is declined or fails, the payment will reflect as "Rejected" on the invoice, and a reverse payment will be automatically added, indicating that funds are still due. This can happen days after the transaction is initiated, unlike card payments which decline instantly if there's an issue.
An email notification will be sent to the location email address set in Company Settings with a list of all transactions that have failed. You can then contact the customer to retry the payment or collect it using an alternative payment method.
⏱️ Settlement Timeline & No Surcharges

Bank account payments settle differently than card payments. ACH transfers typically settle within 4 business days. While there is a processing fee associated with accepting bank debit payments, you cannot pass this fee on to customers via surcharging. Customers will not see surcharges when paying with a bank account, unlike credit or debit card payments which may include processing fees.
If an ACH payment fails to settle for any reason, the payment status will reflect as "Rejected." A reverse payment will be automatically added to the invoice, indicating that funds are still due. An email notification will be sent to the location email address set in Company Settings with a list of all transactions that have failed.
💡 Pro Tips
🎯 Invite customers proactively — Send the bank setup email to customers when you know they will be making regular payments or have larger balances. This gives them the option to lower their payment processing costs by using a bank account instead of a card. You can also send the email preemptively to your entire membership base so they have the option available whenever they choose to pay.
💪 Promote bank debit as a payment option — Highlight bank debit to customers as a secure and convenient way to pay. Emphasize this option during onboarding or at point of payment. You can include information about bank debit in your location communication or during membership signup.
⏰ Plan ahead for settlement timing — Since ACH payments take 4 business days to settle, set customer expectations about when funds will be available. This is especially important for customers who rely on quick payment processing for account credits or refunds.
📧 Use email history for follow-ups — Track which customers have received bank setup emails using the Email & SMS History log on their profile. This helps you identify customers who haven't responded and may need a reminder or additional assistance.
🔄 Offer bank accounts as a backup payment method — When customers call with payment issues (card declined, insufficient funds), suggest adding a bank account as an alternative. Having multiple payment methods on file reduces payment failures and improves collection rates.
