Cross-Location Transactions

Track payments collected at a different location than where the program or service takes place. Use this report to identify cross-location payment routing and ensure accurate financial reconciliation across all facilities.

πŸ“ Overview

The Cross-Location Transactions report helps you identify and track payments that were collected at a location different from where the program or service actually takes place.

This can happen when staff process payments without switching their working location, or when a customer has a primary location on their profile but participates in programs at another location. When different merchant accounts are assigned per location, the payment routes to the location where the transaction was processed, not where the program is invoiced. This report gives you visibility into those discrepancies so you can catch and correct them before they affect your financial records.

✍️ Note: This report was formerly called the "Intercompany Report." If you search for either name in the Global Search Box, both will appear in results.

To access the report, type "Cross-Location Transactions" in the Global Search Box and select it from the drop-down suggestions.

Once the report is open, follow these steps:

  1. Select the Location where the program or service takes place (not where the payment was collected).

  2. Enter a Start Date and End Date for the time frame you want to review. By default, the report runs for the prior month.

  3. Under Options, check the Show Invoices box if you want to see individual invoice-level detail in the results.

  4. Select Search to generate the report.

  • Each row is grouped by GL Code and GL Code Description, showing which programs had payments processed at a different location.

  • The location column (e.g., "Issaquah") shows where the payment was actually collected, even if the program belongs to the selected location.

  • Invoice IDs are clickable - select any Invoice ID to open the full invoice and review the payment details.

  • When you select an Invoice ID, you can see exactly where the program was invoiced versus where the payment was collected.

  • A Grand Total row appears at the bottom of the report, summarizing all cross-location transaction amounts.
