Learn how to set up, sell, reload, redeem, transfer, and report on gift cards in Dash.

📝 Overview

Gift cards are a convenient way for customers to purchase credit for future use. When creating gift cards, you must first create the gift card product in the system.
If you plan to sell printed cards, your next step will be to generate redemption codes that can be assigned to those physical cards.

Physical cards are optional. For example, when a customer purchases a gift card online, the redemption code is automatically included on their invoice receipt for future use.

Staff can create, sell, reload, transfer, and redeem gift cards through the Admin side, while customers can purchase and use gift cards directly from their online account during checkout.


🛠️ Setup

🏷️ Creating a New Gift Card Product

Each gift card you’d like to offer must be created as a unique product.

  1. Navigate to Cash Register > Products.

  2. Click + Add Product.

  3. Under Product Type, select Gift Card.

    • The software supports three product types: Normal Product, Membership Product, and Gift Card Product.

  4. Enter a minimum price for the gift card.

    • Online customers can select from the base price, two additional options, or enter their own amount.

  5. Mark the product as Customer Required and Available Online.

  6. Add a UPC code for quick checkout.

  7. (Optional) Upload a product image under Other Settings to display an image of the gift card.

  8. Add the product to the Cash Register page for in-person sales.

  9. You may create multiple card amounts or adjust the price during checkout.

🔢 Generating Redemption Codes

If you’re printing physical cards, redemption codes can be generated directly from the Gift Card Generator tool.

  1. From the Admin side, use the global search bar to find “Gift Card Generator.”

  2. Enter the number of cards you want to print.

  3. Download the generated CSV file with all card numbers.

Use your CSV file to print cards through any professional card printing company.

✅ Providers previously used include ID Edge and Custom Card Co.


✅ The front of your card should display your company logo.


✅ The back should display:

  • A scannable barcode

  • The redemption code in text

  • Your facility phone number and address

🧾 Selling a Gift Card on the Admin Side

  1. Add the gift card product to the Cash Register / POS.

  2. Select the purchasing customer to ensure the invoice and redemption code are sent via email.

  3. On the Setup Gift Cards page, enter or scan the barcode or paste a generated code.

  4. Confirm the amount and complete checkout.

  5. Leave Email Receipt enabled so the redemption code appears on the invoice.

🛍️ Purchasing Gift Cards Online

  1. From their Online Account, customers select Gift Cards from the left-side menu.

  2. On the Gift Card page, they choose from preset amounts or enter a custom value.

  3. If they want to send the card as a gift, they can enter the recipient’s name, email, and an optional message.

  4. To purchase for their own family, they can leave the recipient fields blank.

  5. Click Add to Cart, then proceed through checkout to complete the purchase.

  6. The redemption code appears on their invoice after checkout for use in future purchases.

💡 Note: Customers cannot reload previously purchased gift cards online. Reloading can only be done from the Admin side.

  1. Search for the gift card by redemption code or card number using the global search.

  2. On the Gift Card Options page, click Reload.

  3. A cart appears. Invoice it to a customer and proceed to checkout.

  4. Take payment to complete the reload.

🔍 Searching for a Gift Card

  1. Open the customer’s invoice. The redemption code will appear on the invoice details page.

  2. You can also locate a card through the global search.

    • Type giftcard: followed by the redemption code to bring up that specific gift card.

  3. Once located, you can view the card’s current balance, history, and transaction details from the Gift Card page.

🎫 When the Physical Card or Code Is Available

  1. Ring up the products the customer wants and assign the invoice to their name.

  2. Click Checkout.

  3. On the Payment screen, select the Gift Card tab.

  4. In the Redemption Code field, either:

    • Scan the barcode from the physical card, or

    • Manually enter the redemption code.

  5. Enter the amount to apply from the gift card.

    • If the card balance is less than the total due, check Split Tender to pay the remaining amount with another method.

  6. Click Process Checkout to complete the transaction.

🔍 When Gift Card Code Is Unknown

  1. Open the customer’s Profile.

  2. Click the Invoices tab to view their invoice history.

  3. Locate an invoice with the status “G” (indicating a gift card purchase).

  4. Click the invoice number to open its details.

  5. Copy the Redemption Code from the invoice.

  6. Return to checkout and apply the code under the Gift Card tab.

💰 Using Gift Cards During Checkout (Customer Portal)

When a family already has a gift card balance, they will see an option to apply it during checkout.

  1. In the Payment Method section at checkout, the system displays:

    • Family Gift Card Balance: [remaining balance amount]

    • A checkbox labeled Use gift card balance.

  2. Customers can check this box to apply their available balance to the total due.

  3. Any remaining balance will stay on the family’s account for future use.

🔄 Transferring Money Between Gift Cards

  1. Locate the original gift card using the global search or customer invoice.

  2. On the Gift Card Options page, enter the new card’s redemption code in the transfer field.

  3. Click Transfer.

  4. A $0 cart will appear. Assign it to the receiving customer and proceed to checkout.

  5. Complete checkout to finalize the transfer.

  6. The balance on the original card will now show as transferred.


📊 Gift Card Balances Report

The Gift Card Balances report displays all gift cards purchased at a specific location, along with their original purchase price and current balance.

  1. In the global search bar, type gift card balance and open the report.

  2. Select the desired Location from the drop-down list.

  3. Click Search to generate the report.

  4. The table will list each invoice where a gift card was purchased, including:

    • Customer Name

    • Original Card Price

    • Current Card Balance

  5. You can export the results using the CSV or PDF buttons at the top of the report.


💡 Pro Tips

  • ⚙️ If customers don’t see the Gift Cards tab online, verify that a Gift Card product exists and is Available Online.

  • ⚠️ Verify card amounts before checkout to ensure balances are accurate.

  • 🧠 Use the Gift Card Balances report to track expired or unused cards.

  • 💬 Add gift card images to make online listings visually appealing.

  • ⛔️ Avoid reusing redemption codes to prevent duplicates.

  • 📌 Always email receipts so customers can reference their redemption codes later.

If the Gift Cards tab is missing, your facility may not be set up to sell gift cards online.

Check the following:

1. Ensure a Gift Card product has been created

2. Confirm the product type is set to Gift Card.

3. Under the Product Settings, select Available Online so customers can view and purchase it.

Once a Gift Card product is active and online, the tab will appear in the customer portal.

Can I transfer a gift card balance?
