šŸ“ Overview

Staff Resources help you display a staff member’s schedule (such as referees, coaches, or other team roles) right on your facility calendar so staff and organizers can easily see who is scheduled when and where. These are custom Calendar resources that show scheduled blocks for staff assignments next to your physical spaces and other resources.

ā“ Why Create Staff Resources

Click the arrow to learn why you would create ā€œStaff Resourcesā€

  • View staff assignments on the Calendar
Display staff schedule blocks next to locations (fields, gyms, rooms) to keep scheduling organized.

  • Improve visibility for coordinators and staff
Staff schedules can be reviewed alongside facility resources to reduce conflicts and confusion.

  • Support staff access to schedules
When staff schedules are connected to a customer profile, staff can view their assignments when logged in (if enabled/published).

  • Track scheduling activity
Calendar entries can be used to review staff scheduling patterns and support reporting needs.

šŸ‘€ How It Looks on the Calendar

Click the arrow to see how Staff Resources appear in the Calendar

  • Staff Resources appear as their own columns on the Calendar

  • Referees or staff are scheduled in blocks that line up with games

  • Each block represents a set of assignments for that staff member

  • This makes it easy to scan who is working, when, and where

šŸ“… How Staff Schedules Work

  1. Create a staff resource
Add a Calendar resource that represents a staff schedule (example: ā€œReferee Scheduleā€ or ā€œCoach Scheduleā€).

  2. Place the staff resource in your Calendar view
Arrange the resource order so the staff schedule column appears near the related location resources.

  3. Confirm staff have a customer profile
Create or use an existing customer profile for the staff member, so schedule entries can be associated with them.

  4. Add schedule blocks
Create calendar entries at the appropriate day/time so the staff assignment displays on the Calendar.

  5. Publish entries if staff need online visibility
If your setup allows staff to view schedules online, publish the schedule blocks so they can see them when logged in.

  6. Review schedule activity as needed
Use scheduling visibility in the Calendar and reporting tools to review assignments across a timeframe.
