Task Management

Create, assign, and track staff tasks with customer linking and automatic email notifications on every update.

πŸ“ Overview

Task Management allows you to create and assign tasks to employees, optionally link them to a customer's account, and track progress from start to completion. When a task is assigned, the designated employee receives both an email notification and an alert on the task icon in the top navigation bar, keeping your team informed without manual follow-up.

Tasks can be created using existing predefined task types or built from scratch as custom tasks. Custom tasks can also be saved to the predefined list for future reuse.

The following authorizations control access to Task Management features. These can be managed under employee roles in your settings.

  • Create Predefined Task - Allows the employee to create tasks using predefined templates.

  • Task Search - Allows the employee to access the Tasks page and search for tasks.

There are two ways to navigate to the Tasks page:

  1. Type "Tasks" into the Global Search box in the top navigation box.

  2. Select the task alert icon in the upper right corner of the screen. If you have any open or due tasks, the number of outstanding tasks will appear on this icon. Clicking it will open your task list directly.


βœ… Creating a Task

  1. Navigate to the Tasks page.

  2. Click + New Task.

  3. Select a task type from the Task dropdown. If none of the existing options apply, toggle on Custom Task to enter a new task name instead.

    • To save a custom task to the predefined dropdown list for future use, check the Add checkbox before saving.

  4. In the Assigned To field, select the employee(s) who should be notified and responsible for the task.

  5. Set the Due date and time. This defaults to the end of the current day but can be adjusted.

  6. Optionally set a Duration in minutes.

  7. The Owner field defaults to the currently logged-in user but can be changed if needed.

  8. Set the Status (Open, Pending, or Complete) and Priority level as appropriate.

  9. If the task is related to a customer, search for and attach their account in the Customer field.

  10. Enter any relevant details in the Detail field, such as invoice numbers, amounts, or context for the assignee.

  11. Click Save to create the task, or Complete to save it as immediately completed.

Once saved, assigned employees will receive an email notification and will see their task count update on the task alert icon in the top navigation bar.


πŸ‘€ Customer-Linked Tasks

🧠 Example: A customer requests a refund. When creating the task, attach their account so the assigned employee can quickly reference their information and any relevant history directly from the task.

When a task is linked to a customer, it will appear in the Open Tasks panel on that customer's profile page, showing the status, priority, assigned employee, and due date at a glance.

You can also create a task directly from the customer's profile:

  1. Open the customer's profile.

  2. Click the Tasks dropdown button and select Create.

  3. The New Task form will open with the customer's account information pre-populated.

To view a full history of tasks associated with the customer, select History from the same Tasks dropdown.


πŸ”„ Completing & Managing Tasks

Task statuses can be updated individually or in bulk from the Tasks page.

To complete or update a single task:

  1. Open the task from the Tasks page.

  2. Update the Status field to Open, Pending, or Complete as needed.

  3. Optionally add a note in the Add Note field at the bottom of the task to log any updates or context as the situation develops.

  4. Click Add to save the note, then click Save to update the task, or click Complete to mark it as finished.

To complete multiple tasks at once:

  1. On the Tasks page, check the checkbox next to each task you want to update.

  2. Click the Complete button at the top of the list to mark all selected tasks as complete.

The Task Report lets you filter tasks by location, resource, task type, status, and date range. You can also group results by employee for a clear breakdown of individual workloads and export to CSV or PDF for shift planning or performance reviews.
