Customer Tags

Tags can be assigned to individual participants and organization types to help with Marketing efforts for specific groups of customers.

Feature Update as of June 2025:

You can now assign customer tags directly to an organization profile, just like you would for individual customer records. These tags can be used to organize, filter, and apply logic throughout registration, reporting, and other workflows.


Overview

Customer tags help you organize and manage your customer database by allowing you to group individuals and organizations based on custom criteria that matter to your operations—such as program participation, membership type, rental status, or survey responses.

Where

To access the "Customer Tags' page within Dash, you can do one of the following:

  • From the top nav bar, click on "Customers", and then "Customer Tags".

  • Type in the global search box "Customer Tags" or even "Tags".


Setup

Tag Groups

  1. Once on the Customer Tags page, click the "+" to create a new Tag Group.

  2. For example; "Marketing" is a good Group Tag to have.

  3. The "Member Card" toggle provides the option to display the customer's tags on the Player Card.

Tags

  1. Once the Group is created, you can add individual Tags to this Group Tag.

  2. Click the "+" to "Add Tag".

  3. So in our Marketing Tag example, we may create tags for an Open House that occurred in April 2025, Derby Days, or any other events where you hand out fliers to your customers and you are interested in tracking them as they sign up.

Merge Tags

⚠️ Important: When merging tags, all merged tags will be permanently deleted. Only the destination tag will remain after the merge is complete.

  1. Click on "Tag Merge" symbol.

  2. Select one or more tags to be merged.

  3. Select a "Destination tag" into which to merge the tag(s).

  4. Click the "Merge" button to finish.


Assigning Tags to Customers

Participant/Contact Customer Types

  1. Go to your Customer profile page that you would like to assign this new tag to.

  2. Over on the right hand side you will see a list of Group Tags.

  3. Click the "+" button to view the individual tags available to choose from.

  4. Select the tag you want to assign to the customer.

  5. If you don't see the tag you want, you can click on the "Create New Tag" link which will take you back to the "Customer Tags" page.

  6. Once a tag has been assigned, it will appear under the Group Tag name on the profile.

Organization Customer Types

  1. Go to your Organization page that you would like to assign this new tag to.

  2. There will be a "Tag" tab on the left hand side.

  3. You will see a list of "Group Tags".

  4. Click the "+" button to view the individual tags available to choose from.

  5. Select the tag you want to assign to the customer.

  6. If you don't see the tag you want, you can click on the "Create New Tag" link which will take you back to the "Customer Tags" page.

  7. Once a tag has been assigned, it will appear under the Group Tag name on the profile.


Removing Tags from Customers

  1. Once a tag has been added to either a Participant/Contact account or an Organization account, there is an option to "Remove" the tag.

  2. If you click on the tag name, you will see a confirmation modal appear just to make sure you really want to remove the tag form the account. Click "OK" to remove.


Batch Add/Remove Tags Using Customer Search Report

The Search, Email, and Text tool allows you to apply or remove tags in bulk based on custom search filters. This makes it easy to manage customer groups without editing each profile individually.

⚠️ Note: The tag must be created before you can apply it through batch tagging.

  1. From the top nav bar, click on "Customers", and then "Search, Email, & Text".

  2. Set your desired search filters to produce the group of customers you want to tag.

  3. Click "Search" at the bottom to spot check and confirm you have the correct customer accounts.

  4. Select "Apply Tag".

  5. Choose the appropriate tag from the drop-down menu.

  6. Click "Add" to assign the tag to all customers in your search results.

  7. A summary will appear with the total number of customers that were tagged.

Remove Tags in Bulk

  1. Follow steps 1–5 above to filter the customer group and select the tag to "remove".

  2. Click "Remove" after choosing the customer tag.

  3. A summary will appear with the total number of customers removed from the customer tag.


Marketing to Tagged Customers

If you would like to run a Customer Search and Email Report and e-mail your customers with a specific Customer Tag, here is how you can do this.

  1. From the top nav bar, click on "Customers", and then "Search, Email, & Text".

  2. Choose your search parameters (Season, Tags, etc).

  3. Click "Search" at the bottom to spot check and confirm you have the correct customer accounts.

  4. After reviewing, click the "E-mail Editor" button.

  5. Compose your e-mail or choose from an existing template stored in your "E-mail templates" section.

⚠️ Note: The e-mail search function will only work if you either choose to search by seasons or if you search by Tags. If you choose a season and also click a customer tag, it will only bring up those customers that are enrolled in that season that are assigned that Tag.
