Written by Kristi Carlson

📝 Overview

Prepare and run your day without clicking into individual bookings. The Booking Operations Report consolidates all booking details including customer information, assigned add-ons with quantities, custom form answers, staffing, notes, and more into a single operational view. Unlike the standard Booking Report, this report is built for on-the-floor use: it surfaces the details your party and rental staff need to prep supplies, assign staff, and execute events.

🔑 Authorization Requirements

Click the arrow to learn about required permissions for this report

To view the Booking Operations Report, users must have one of the following authorizations assigned through their role:

  • Global Financial: Grants access to all financial data across all facilities for any date range.

  • Limited Financial Reporting: Restricts access to financial data from the last seven days only.

✍️ Note: If your account does not have the required authorization, a warning message will appear on the Booking Operations Report page. Contact your system administrator to request the appropriate access level.

🛠️ How to Access

🔍 Filtering the Report

Use the available filters to refine your view by location, date, and event type.

🏢 Location

Select a specific location to view bookings at that site only. Use this filter if your facility has multiple locations. This report can only be run for one location at a time.

Choose a single date to view all bookings for that day. The report displays bookings in chronological order by start time. This report cannot be run for multiple days at once.

  • ✅ Show Staff includes staff member assignments for each event

📋 What This Report Shows

At the top of the report, you'll see a brief summary displaying the selected date, any add-on products purchased, location name, and total number of events for that day.

Below the header, each booking appears as a row. Each row displays:

  • Start/End Time and Event Type (e.g., Outdoor Field Rental, Ice Rental)

  • Resource assigned to the event

  • Customer Name, Phone, and Email

  • Add-Ons Purchased with quantities (e.g., Pizza x 2, Soda x 3)

  • Notes or comments attached to the booking

  • Staff Assigned to the event

  • Edit Event button (allows you to open the event in a new tab and edit if needed)

🧠 Pro Tip: Add-ons are upsell or included products customers can purchase (or are included) along with their booking such as equipment rentals, food, or services. The Booking Operations Report shows exactly how many of each add-on was purchased or is included across all events for the day, helping staff prepare quantities needed.

🖨️ Printing & Exporting

The report offers two ways to output your data: print or save via the Print Selected button, or export as CSV.

🖥️ Print Selected

Click the Print Selected button to open your browser's print dialog. Use the Print Options (set in the Filtering section above) to customize what appears on your physical checklist. From the print dialog, you can print directly or select "Save as PDF" to download a PDF copy of the report for digital sharing or archiving.

💡 Pro Tips

  • 📌 Print the Night Before Generate and print the report the afternoon or evening before to give your staff time to review and prep supplies, food quantities, and staffing assignments.

  • 🧠 Use as a Day-of Checklist Print and post the report at your staff stations as a real-time checklist. Staff can check off completed events or note any changes as the day progresses.

  • 👁️ Custom Form Answers Only Appear If Enabled If a booking's custom form is empty, that section won't display on the report. This keeps your printout focused on relevant data.

  • ⚠️ Add-Ons Not Assigned = Not Included If a booking has no add-ons, that section will be blank.

  • 💬 Filter by Event Type for Department-Specific Prep If different staff manage different types of events (e.g., field rentals vs. party rentals), filter by event type to create separate checklists for each team.

Find answers to common questions or additional details that may not be covered in the main instructions.

What's the difference between the Booking Operations Report and the standard Booking Report?

Click the arrow to see the answer

The standard Booking Report is designed for administrative review: it shows one booking per row with basic details, suitable for auditing or general record-keeping. The Booking Operations Report consolidates all booking details into a printable, operational format. Key differences:

  • Includes add-on quantities and custom form answers (standard report does not)

  • Optimized for printing and on-the-floor use (vs. administrative or accounting review)

  • Summarizes add-on totals at the top of the report for quick supply planning

  • Built specifically for party and rental staff who need to prep and run events without accessing the system

Do I need to set up anything first to see add-ons and custom forms on this report?

Click the arrow to see the answer

No special setup is required. The report automatically includes any add-ons or custom form answers that customers have already purchased or filled out during their booking. If a booking has no add-ons, that section will be blank. If a custom form was not included on the booking form, that section will not appear.
