📉 AR Aging

📋 What

The AR (Accounts Receivable) Aging report provides a breakdown of unpaid customer balances as of a selected date. It organizes outstanding invoice amounts into aging buckets—0–30, 31–60, 61–90, and 90+ days past due—and includes options for viewing future receivables, GL code filtering, and invoice-level detail.

🔑 Key features

  • Filter by:

    • Location

    • As Of Date

    • GL Code(s) to focus on specific revenue types or accounts

  • Optional display settings:

    • Group by GL Code to organize balances by category

    • Show Invoice Detail to view invoice numbers and group data by customer

    • Show Future AR to include upcoming amounts due for services or events scheduled after the As Of Date

    • Exclude Scheduled Payment Invoices if you want to remove payment-plan balances from the report

  • Displays per invoice or customer:

    • GL Code, Customer ID, Name

    • Invoice Number (clickable)

    • Aged balance across:

      • 0–30 Days

      • 31–60 Days

      • 61–90 Days

      • 90+ Days

      • Total

Use this report during month-end or year-end close, to monitor overdue customer balances, and to manage collections or financial risk. It's ideal for accountants or business managers tracking aging receivables, validating outstanding debt, or filtering AR by revenue category via GL codes.

💡 Pro Tips

Enable Show Invoice Detail to drill into specific unpaid invoices and customer history. Use Show Future AR to anticipate revenue based on future scheduled events—great for forecasting. If you only want to focus on true past-due balances, be sure to Exclude Scheduled Payments to avoid skewing totals with planned future installments. Grouping by GL Code gives a clearer view of which programs or services are driving outstanding balances.

  • Filter by As Of Date to view aging totals at any point in time.

  • Option to Exclude Scheduled Payments, allowing you to focus only on truly overdue balances (ideal when payment plans are in place).

  • Toggle between a Summary view (chart-based) and Data view (numbers-only) depending on your preference.

  • View balances by location and aging category using visual graphs and legends.

  • Drill into the data to view customer-specific balances for follow-up or collections.

  • Export results as CSV or PDF for financial reconciliation, reporting, or audits.

Keep in mind that the values are calculated based on event-driven invoices (like camps or bookings), so totals may shift as dates or registrations are updated.

The Booking Summary Report provides a breakdown of bookings by resource during a selected date range. It shows key event metrics like attendance, number of events, and total invoiced revenue, all organized by resource and optionally grouped by General Ledger (GL) codes. It reflects the events that occurred during the time range selected, not the payment date.

  • Filter by Location, Date Range, and Resource to customize which bookings you want to view.

  • Report is grouped by resource name and includes individual booking line items as well as subtotal and grand total rows.

  • Displays:

    • # Bookings: Total number of bookings for the selected time period.

    • # Events: Number of events associated with those bookings.

    • Attendance: Pulled from the attendance number set directly on the booking.

    • Revenue, Deposit, and Total: Based on invoice amounts tied to the booking.

  • Optional “Show GL Detail” checkbox reveals GL code breakdown for each item.

  • Exportable as CSV or PDF for accounting or administrative review.

Always double-check the attendance values, as these are manually set on the booking and impact totals.

This report displays class information by location, showing season names along with their start and end dates, the associated GL Codes for accounting purposes, the amount billed for each class level, and class counts broken down both by month and in total. It provides a clear overview of program activity and financials within the selected time frame.

🔁 Customer AR Roll Forward

The Customer AR (Accounts Receivable) Roll Forward report displays customer balances over a selected time period, allowing you to see how balances have changed due to invoicing and payments. It tracks beginning balance, new invoices, payments made, and the resulting end balance for each customer—providing a clear view of account movement within the reporting window.

🔑 Key features

  • Filter by Location and set a Start and End Date to define the period being analyzed.

  • Choose from Additional Options to control which customers appear:

    • Include customers who started or ended with a balance

    • Include customers with an invoice during the time period

    • Include both conditions for a complete view

  • Filter by Balance Type: show all, only debit balances, or only credit balances

  • Optionally display customer contact information (email, phone, and address)

  • Interactive display includes:

    • Customer ID (CID) with clickable links

    • First and Last Name

    • Beginning Balance

    • New Invoices issued during the time frame

    • Payments received

    • End Balance reflecting AR position at the end of the period

  • Exportable as CSV or PDF for offline reporting or analysis

If you want to review where customers stand today, set the End Date to the current date. Using the “Show Balance” filter alongside the “Include both” option gives you the most comprehensive picture. Export to CSV for easier sorting by highest balances or overdue accounts. And don’t forget—clicking a Customer ID gives you quick access to more detailed account views.

📘 Drop In Product Sales

The Drop In Product Sales report lists all sales activity for products that include the term “drop in” in their name. It helps track daily revenue from drop-in-based offerings such as fitness classes, open gym, or open skate sessions. This report focuses exclusively on these product types and is useful for operational or financial reviews.

  • Filter by:

    • Start Date and End Date

    • Product (or view all drop-in products)

  • Displays for each transaction:

    • Product Name

    • Date of Purchase

    • Invoice ID (clickable for invoice details)

    • Amount Charged

    • Amount Paid

  • Totals appear at the bottom, showing grand total sales and payments

  • Exportable as CSV or PDF for reporting, reconciliation, or historical review

✅ When to use it

Use this report when you need to monitor sales of drop-in programs, validate usage trends, or prepare summaries for program-specific revenue tracking. It's especially helpful for fitness centers, skating rinks, and rec programs with flexible entry models.

💡 Pro Tips

Leave the product filter set to All if you want a full picture of drop-in activity. Use the Start/End Date range to isolate a single day or drill into longer periods. If reconciling payment records, compare Amount Paid to Amount Charged to identify underpayments or pending balances. Export to CSV to sort by product type or total per day.

📆 Monthly Booking Pace Report

The Monthly Booking Pace report provides a month-by-month breakdown of revenue from booked rentals, including both invoiced and non-invoiced bookings. It’s designed to help you analyze booking trends, track sales performance against previous years, and forecast demand by resource—similar to pace reports commonly used in the hospitality industry.

The report, can optionally, compare current booking totals with prior year performance and includes year-to-date (YTD) comparisons as well as annual totals.

Revenue is broken out by resource and further separated into Rental Fees and Extra Fees.

🔑 Key features

  • Filter by:

    • Location(s)

    • Resource(s)

    • As of Date to define the reporting period

  • Monthly revenue columns display:

    • Booking totals for each end-of-month date

    • Prior Year To Date (PYTD) amounts for comparison (if enabled)

  • Optional checkbox:

    • Compare to Prior Year’s YTD for trend analysis

  • Scroll to the far right to view:

    • Annual Totals for the current year

    • Prior Year Totals for side-by-side comparison

  • Revenue is grouped by:

    • Resource

    • Rental Fees

    • Extra Fees

  • Exportable to CSV or PDF for sharing, budgeting, or trend analysis

✅ When to use it

Use this report to monitor how bookings are pacing month to month compared to previous years, and to forecast facility usage and demand. It’s especially valuable for event-based, seasonal, or rental-heavy operations looking to anticipate trends, optimize capacity, or measure booking velocity in real-time.

💡 Pro Tips

Always enable Compare to Prior Year YTD to get the full benefit of the pacing view. Scroll to the far-right columns to access annual totals, which are useful for strategic planning or board presentations. Use the resource filters to isolate high-traffic or underperforming spaces, and sort by Rental Fees vs. Extra Fees to understand the true drivers of revenue.

🎟️ Pass Product Sales

The Pass Product Sales report lists all products with the word “pass” in their name that were sold during a selected date range. It provides detailed invoice-level reporting, including pricing, discounts, and payment status.

  • Filters by date range and optional specific pass product.

  • Automatically includes only products with “pass” in the name.

  • Displays the invoice ID, product name, date, gross price, discounts, invoiced, and amount paid.

  • Includes Grand Totals at the bottom of the report.

This report is helpful when you need to monitor sales of pass-based products, such as punch cards, that include the word “pass” in their name. Set the product filter to All if you want to view sales for every pass product during your date range. If you're running a campaign or promotion, narrowing to a single pass product can help you evaluate how it’s performing. You can also click the Invoice ID to jump directly into the customer invoice for a closer look at payment details or line-item context.

The Rentable Item Summary report displays a detailed log of all rented products across your facilities, showing inventory source, rental quantity, rental time range, and locations. It gives an at-a-glance summary of which items were used, when, where, and in what quantities.

  • Booking ID links directly to each transaction

  • View rental quantities and product names by inventory type (local, non-local, global)

  • Filter by rentals with or without scheduled events

  • Columns for inventory source, location, and rental time frames

  • CSV and PDF export options for audit or planning use

Use this report when you need to track product rentals across locations and time frames. It’s especially helpful for reviewing usage of inventory like chairs, tents, or equipment—whether scheduled as part of an event or rented independently. You can also audit if inventory was pulled from global or local pools, making it great for managing fulfillment logistics and capacity planning.

💡 Pro Tips

To narrow your results, use the Rental Filter dropdown to view only rentals that were tied to events or those that occurred independently. For inventory planning, isolate Rentals from Global Inventory to ensure stock isn’t being overcommitted across locations. Use the Start Date and Location filters to drill into high-demand dates or facility-specific usage. Export the results if you need to cross-check against packing, transport, or staffing needs.

The Rental Revenue and Usage report displays detailed revenue from events booked through the Booking Manager or online booking, organized by resource and grouped by location. It captures the number of rentals, hours booked, and total revenue earned for each resource, along with customer details for each booking.

  • Filter by Location and select a Start Date and End Date to define the reporting period

  • Displays one row per booking with customer name, hours, and payment details

  • Columns include:

    • Resource Name

    • Booking Title

    • Customer Name

    • Rentals and Hours

    • Revenue

    • Tax (if enabled)

    • Total Revenue

    • Cash Basis amount (collected vs. billed)

    • Difference between accrual and cash basis values

  • Totals are grouped and summarized by location

  • Optional display checkboxes include:

    • Show Revenue Total with Tax

    • Show Booking Details

    • Show Cash Basis Info

The Revenue Detail report provides a comprehensive breakdown of individual customer revenue for any selected season, including data by level, group, and day of the week. It’s designed to help staff view full invoice and payment details for each participant tied to a particular program.

🔑 Key features

  • Filter by:

    • Location, Season, Level, and Group

    • Day of the Week (DOW) to isolate programs by meeting day (e.g., only Mondays)

  • Displays detailed financial data for each customer:

    • Customer Name

    • Invoice Number (clickable link to view actual invoice)

    • Group Start Date

    • Gross Price

    • Discounts and Scholarships

    • Net Price

    • Amount Paid

    • Amount Due

    • Invoice Status (e.g., Paid, Unpaid)

    • Meeting Days (e.g., Monday, Wednesday)

  • Totals provided at the bottom of the report for quick reconciliation

  • Exportable as CSV or PDF for reporting, auditing, or customer follow-up

✅ When to use it

Use this report when reconciling invoices for a season, confirming who has paid (and how much), reviewing discounts or scholarships issued, or preparing to follow up with customers who still owe a balance. It's especially useful during or after registration periods and before the season ends.

💡 Pro Tips

Use the DOW filter to focus on just the rosters that meet on a specific day. This makes it easier to prep for a given weekday’s programming. If you're preparing a balance reminder or audit, export to CSV to filter by Amount Due. Clicking the invoice number is the fastest way to jump directly into an individual billing record for resolution or adjustments.

📈 Season Enrollment and Revenue Comparison - Class

This report provides a side-by-side comparison of class seasons across one or more locations, focusing on both enrollment and revenue performance. It separates data into three easy-to-navigate tabs—Enrollment, Revenue, and Data—giving you visual and tabular views to compare current performance with the past. The report includes historical metrics like PY (Past Year) and PYTD (Past Year To Date) to help you identify growth or declines season over season.

  • Filter by Location, Season(s), and As Of Date to customize your view.

  • Compare multiple seasons at once, with visual bar charts for Enrollment and Revenue.

  • Three distinct tabs for focused analysis:

    • Enrollment Tab: Compares total registrations for the selected season vs. PY and PYTD values.

    • Revenue Tab: Displays total revenue earned in each season vs. PY and PYTD revenue.

    • Data Tab: Provides a detailed table view with the following columns:

      • Current Season Enrollment & Revenue

      • Past Year (PY) Enrollment & Revenue

      • Past Year To Date (PYTD) Enrollment & Revenue

      • % Difference from PYTD (highlighted in red/green for decline/growth)

Stick to 10 or fewer seasons for the most detailed view, as individual season breakdowns are only displayed when fewer seasons are selected. And don’t forget to use the Enrollment and Revenue charts for at-a-glance visual comparisons across programs or locations.
