Employee and Instructor Rate Setup

Learn how to create and assign employee or instructor pay rates, including hourly, flat, and percentage-based options.

šŸ“ Overview

Employee and instructor rates determine how staff are paid for programs and events. The system supports several rate structures to match your organization’s payroll needs.

Available Rate Types

  • Hourly – Pay calculated based on the event’s duration.

  • % of Revenue – Pay based on a percentage of event income.

  • Flat Rate – One fixed amount per event or session.

  • Per Attendee – Pay determined by the number of participants.

  1. Go to Admin > Users.

  2. Select the staff member’s name.

  3. Open the Rates tab.

🧠 Note: You must unlock the user (click the orange padlock icon) before you can add or edit rates.

Click the arrow to learn how to add or update employee and instructor pay rates

  1. Navigate to Admin > Users > Rates.

  2. Unlock the profile to make edits (click the orange lock).

  3. Click + Add Rate.

  4. Choose the Program this employee will be paid for.

  5. (Optional) Select the Skill Level if you pay different rates for various levels.

  6. Select a Rate Type (Hourly, Flat, % of Revenue, or Per Attendee).

  7. Enter the Rate Value.

  8. Click Save.

šŸ’¬ Example: A $25/hr rate can be set for all Dance programs. If you use multiple levels (Beginner, Intermediate, Advanced), apply separate rates per level if needed.

Rates you configure here are used in the Instructor Payment Report (Per Session) to track instructor or employee earnings based on the rate setup for each program or event.

  • āš ļø Unlock before editing: You must click the orange padlock icon before you can add or update any rates.

  • 🧠 Set general rates first: If most instructors are paid the same, create a general rate (e.g., ā€œAll Programsā€) and only add specialized rates when needed.

  • šŸ’¬ Skill levels are optional: Only use them if your organization pays differently for beginner, intermediate, or advanced classes.
