๐Ÿ“ Overview

Activity Groups are groups of customers within a camp that are grouped together based on a set of characteristics, such as age, gender, or both.

After defining Activity Groups for a camp, customers are assigned to groups under the Default Groups section. Default group assignments can also be changed for specific events. When determining a customerโ€™s group, the software first checks for event-specific grouping. If no event-specific grouping exists, the customer is assigned to their Default Group.

Default Groups can be used to define groups for all sessions within the camp.

๐Ÿงฉ How Activity Groups work

๐Ÿ•๏ธ Camps

  • Activity Groups are defined at the camp roster level as Default Groups.

  • Default Groups apply to all sessions unless a specific event has its own group assignment.

  • When determining a customerโ€™s group:

    • The software first checks for grouping assigned at the event level.

    • If no event-specific grouping exists, the customer is placed into their Default Group.

  • This structure allows group assignments to be reused across sessions while still supporting event-specific changes when needed.

๐ŸŽ’ Class Seasons

  • Activity Groups may appear within class season rosters.

  • Customers are registered for the full class series.

  • Group assignments apply at the roster level rather than being managed per individual event.

๐Ÿ› ๏ธ Define Activity Groups

Click the arrow to learn how to create and manage Activity Group names

Defining Activity Groups creates the group containers that customers can later be placed into. These groups act as placeholders until customers are manually assigned or automatically generated into them.

  1. From the Activity Groups page, select Define Activity Groups.

  2. Enter a group name (for example, an age range or team name).

  3. Select Save to add the group.

  4. Repeat as needed to create all required groups for the roster.

  5. Use the edit icon to rename an existing group or Delete to remove a group.

โš ๏ธ Rules and notes

Click the arrow to review important rules

  • Activity Group names must be unique within the roster.

  • Activity Group names must be 20 characters or fewer.

  • If you delete an Activity Group that already has customers assigned, those customers are reset to Unassigned.

  • Activity Groups are created per camp roster and must be set up separately for each camp.

This step is used to manually place customers into the Activity Groups you created.

  2. Select the checkbox next to one or more customers.

  3. Press Apply.

โš™๏ธ Generate Activity Groups

Click the arrow to learn how to generate groups automatically

This option automatically assigns customers into the Activity Groups you created based on selected sizing and split criteria. It is most commonly used for camps with large rosters.

  1. From the Activity Groups page, select Generate Activity Groups.

  2. Choose how you want to size the groups.

    • Select Group Size to control how many customers are placed in each group, or

    • Select Number of Groups to control how many total groups are created.

  3. Choose how you want customers split.

    • Group by Age balances groups based on customer age.

    • Split by Sex separates customers into male-only and female-only groups.

  4. Select Preview Groups to review the proposed assignments.

  5. Select Generate Groups to apply the assignments.

  6. Review the results and make manual adjustments if needed.

๐Ÿ–จ๏ธ Viewing and printing Activity Groups

Click the arrow to learn about display and print options

These options control how Activity Groups are displayed on the page and how group information is printed. They do not affect how customers are assigned to groups.

Available options

  • Print Groups on Separate Pages

    • Prints each Activity Group on its own page.

  • Show Custom Fields

    • Displays customer responses from custom forms, such as T-shirt size or medical questions.

  • Show Notes

    • Displays customer notes directly within the group list for quick staff reference.

๐Ÿ’ก Pro Tips

  • ๐Ÿง’ Best for large camps โ€“ Activity Groups are especially helpful when managing camps with high enrollment.

  • ๐Ÿง  Plan names ahead โ€“ Group names are limited to 20 characters, so short age ranges or color names work best.

  • ๐Ÿ“‹ Define before assigning โ€“ Create all groups first to streamline assigning or generating customers.

  • ๐Ÿ” Rename instead of rebuilding โ€“ If assignments look right but names need tweaking, edit the group name instead of recreating groups.
