Purchase Orders

Purchase orders track add-on items sold with registrations, such as meals, merchandise, or rentals. Learn how to enable tracking on a product, fulfill orders from the roster page, and access the Purchase Order Report.

πŸ“ Overview

Purchase orders are automatically generated when a customer purchases an add-on product alongside a registration. These orders help staff track, prepare, and fulfill items like meals, merchandise, or rental gear tied to a specific camp, class, or team.

Once purchase order tracking is enabled on an add-on product, orders will appear in two places: directly on the program's roster page and in the full Purchase Order Report.

πŸ› οΈ Setup

To generate purchase orders for an add-on product, you'll need to enable tracking in the product's settings.

There are two ways to access the Products page:

  • Use the Global Search Box and type Products, or

  • Go to Cash Register β†’ Products

  1. Locate and open the add-on product you want to track.

  2. Select the Settings tab in the left sidebar.

  3. Under Purchase Settings, check the Create Purchase Order checkbox.

✍️ Note: This setting must be enabled on each individual add-on product you want to track. Purchase orders will begin generating for new purchases once this setting is saved.

πŸ“‹ Fulfillment

Once items have been gathered or delivered, you can mark them as fulfilled directly from the roster page or from the Purchase Order Report.

Navigate to the program roster, then select the Purchase Orders tab in the left sidebar.

  1. Locate the order you want to fulfill.

  2. Click the Fulfill button to the right of the order entry.

  3. In the Edit Purchase Order modal, review or update the following:

    • Quantity - the number of items ordered

    • Delivered - the number of items delivered

    • Comment - optional note (e.g., "Skates provided")

  4. Click Save to confirm fulfillment. The order will update to show the delivered quantity, and the Fulfill button will change to Unfulfill.

✍️ Note: Orders fulfilled from the roster page are filtered to that specific program. Use this view when managing fulfillment for a single camp, class, or team.

The Purchase Order Report provides a full cross-program view and also supports fulfillment directly from the report.

  1. Use the Global Search Box and type Purchase Orders to open the report.

  2. Apply filters as needed (date range, location, program, etc.).

  3. Click Search to load results.

  4. Check the box in the Fulfill column next to each item that has been delivered. A Fulfill Selected Orders panel will appear with an optional Comments field.

  5. Add a comment if needed, then click Fulfill Selected Orders to confirm. A green "Orders updated successfully" banner will appear at the top of the page.

✍️ Note: Once an item is marked as fulfilled from the report, the checkbox will be greyed out and cannot be unchecked.


πŸ“Š Reporting

The Purchase Order Report gives staff a complete view of all add-on orders across programs, including fulfillment status, delivery dates, and customer details. You can filter by date range, location, program, and more, and export results to CSV or PDF.

To access the report, use the Global Search Box and type Purchase Orders. You can also open a pre-filtered version directly from any roster's Purchase Orders tab by clicking the Purchase Order Report button at the top of the page.
