The new Event Types page is part of an Early Access release that includes updates to several pages within the software.
When Early Access is enabled for your organization, you will gain access to the refreshed Resources, Event Types, and Online Booking pages. These updates are designed to improve scheduling and management tools.

Event Types define the structure and setup of events in your software. They control how events appear on the calendar, what details are collected, which programs and locations they connect to, and how customers interact with them online.

The Event Types page displays important information in a list view so you can quickly review details without opening each type individually.
Each Event Type shows:

This view helps staff compare Event Types side by side and verify which are available for online booking or connected to specific contracts.

This page shows all currently active Event Types by default. You can view inactive event types by toggling the “Show Inactive Event Types” switch in the left sidebar column.
Click the “+” button alongside the left sidebar to create a new event type.

When you create a new Event Type or edit an existing one, you will be directed to the "Details" section by default.
Name: Enter the display name for the event type. Note that if this Event Type is rentable, your customers will see this name in the member experience.
Color: You can assign a unique color to each event type, making it easily identifiable on the calendar
Default duration: Set a default length for the event, which can be adjusted when creating a new event. This does not impact how the Event Type is shown to your customers online.
Reminder email template: Customize the email template used for event reminders if they are sent out.
Program: Choose a program to link to this event type. This enables event filtering when 'Has Event Roster' or 'Has Home and Away Teams' is selected.
Location: If your database has multiple locations, you can specify which locations can use this event type or select 'All Locations' to make it available everywhere.

Custom form: A custom form can be displayed during registration for this event type.

If you want to print out or access all of the answered fields on the custom form that has been attached to an event, you do this through the Event Search and Bulk Edit Page.
Image: Upload an image to be shown in the Member App and Check-in Kiosk. For an online rentable Event Type, this image, along with the Event Type name, will be the first thing your customer sees when looking for events and rentals.
Has event roster: Activates the individual event roster and allows the optional use of the "Registration Product" field.
✍️ NOTE: When this toggle is turned on, the "has season" toggle cannot be used.
Registration product: When the "Has Event Roster" toggle is enabled, you can assign a registration product for customers to purchase when added to the event roster.

These settings are specific to using this event type within a booking. Once toggled on, you can add fees to be applied to the booking for this event type along with setting a contract and terms and conditions used for the booked event.
Contract: The "Default Booking Contract" will be set automatically. At this time, there are no other available contracts.
Terms and Conditions: Select from any existing Terms and Conditions or create a new one. These will include any special conditions that need to be seen by the customer on their contract for this specific Event Type and they’ll be required to agree to them if this Event Type is available online,
Event fee suggestions: Set additional fees here to make them available when adding an event to a booking. These are not shown to your customers online.

The Online Rental Settings section allows you to control whether an Event Type is available for online booking through the Member App.
⚠️ The fields under this section will only display if the "Booking Manager Settings" has been toggled on
Enable Online Bookings/Rentals: Toggle this on if you want this Event Type to appear in the Member App for customers to book.
Once enabled, a Description field will appear. Use this field to provide a short description of the event type. This description will be visible to customers in the Member App and can help them better understand what they’re booking. The maximum character count for this field is 255 characters.
💡 Tip: Keep your description clear and concise to help customers make informed booking decisions.

If the event requires extra setup or takedown time, tasks, or an additional charge for this time, specify it here.
💡 Tip: Setup and takedown times are not currently taken into account in the member experience. To ensure time between bookings, use ‘buffer time’ in your booking option.

Has primary customer: Allows you to designate a customer as the event owner during creation or editing.
Event published online by default: Sets events to be automatically published unless manually changed. Note that this can be overridden on event settings.
Has season: Allows an optional season, level, or group to be linked to the event.
✍️ NOTE: When this toggle is turned on, the "has event roster" toggle cannot be used.
Has home & away teams: Available only when 'Has Season' is enabled, this option allows you to add home and away rosters.
Has locker rooms: Allows locker room assignments to be added to events.
Send email/sms reminders to customers: Automatically notifies registered participants via email or text.
Show private events on schedule displays: Ensures private events appear on the Schedule Display feature.

How do I specify that an Event Type should be available online for customers to rent?

To make an Event Type rentable online:
Enable Booking Manager Settings for that Event Type.
Open the Online Rental Settings section.
Toggle Enable Online Bookings/Rentals.
Ensure the Booking Option associated with the Resource for this Event Type has Online Booking Enabled.
Ensure the product attached to the Booking Option is available online.
Ensure the Online Booking add-on is enabled.
Once saved, the Event Type will be available for customers to book directly in the Member App.
Can I require a contract or terms and conditions for certain Event Types?

Yes. In Booking Manager Settings, select a default Contract and add Terms & Conditions. These will automatically apply when the Event Type is booked.
What’s the difference between “Has Season” and “Has Event Roster”?

Yes. Add a Custom Form in the Event Type’s Details section. Forms can be used for things like party requests, equipment rentals, or additional info. You can view and export responses using Event Search & Bulk Edit.
