Scheduled Payments Report

The Scheduled Payments Report displays all scheduled and processed payments within a selected date range. Filter by customer, payment type, and result code to monitor recurring billing activity and follow up on failed or skipped charges.

The Scheduled Payments Report pulls all payments that were scheduled or processed within a defined date range. It shows each payment's result, including successes, failures, and skips, along with customer contact details and a direct link to the associated invoice. This makes it a key tool for billing staff and financial administrators following up on recurring or autopay charges.

To access the report, search Scheduled Payments in the Global Search bar.

Use the filters below to define the scope of your report, then click Search to load results.

Set the following filters before running your search:

  1. Location - Select the facility you want to report on.

  2. Pre-defined Dates - Choose from a preset range, or set a custom Start and End date manually.

  3. Choose a Customer - Type a customer name or ID to filter results to a single account, or leave blank to return all customers.

  4. Display Payment Types - Choose to view Scheduled, Processed, or Processed and Scheduled payments.

  5. Processed Payment Result Code - Filter by a specific outcome:

    • All

    • Bad Payment Information

    • Failed

    • Success

    • No Payment Information

    • Other

After clicking Search, the report displays a table with the following columns:

  • Date - The date and time of the scheduled or processed payment.

  • Amount - The payment amount.

  • Customer - The customer name, linked to their profile.

  • Phone - Customer phone number on file.

  • Email - Customer email address on file.

  • Invoice - The associated invoice number, linked directly to the invoice.

  • Result Code - The outcome of the processed payment (e.g., SUCCESS, FAIL, OTHER).

  • Result Message - Additional detail on the result (e.g., "Not sufficient funds" or "Skipping invoice because it has a zero balance. Status set to HOLD.").

  • Type - Whether the entry is Scheduled or Processed.

✍️ Note: Scheduled payments will not have a Result Code or Result Message. Those columns only populate for Processed entries.

After your results load, use the CSV or PDF buttons located below the Search button to download the report.

  • CSV - Best for further analysis, sorting, or sharing with your billing team.

  • PDF - Best for record-keeping or printing.
