📝 Overview

The Class and Camp Scheduler is a powerful planning tool designed to simplify and centralize the process of assigning times, dates, and resources specifically for classes and camp event types within a specific season. It is ideal for program managers or administrators who need to efficiently coordinate multiple offerings while avoiding scheduling conflicts.

⚠️ Note: If your season uses Alternate Registration Types and you want your events to reflect those labels, be sure to review the section below for instructions on how to properly schedule events with alternate registration types.


📍 Where

Start typing "class and camp scheduler" in the global search box or press the Programs option from the drop down menu. Select the Class & Camp Scheduler.


Blackout Dates

Blackout Dates prevent classes, camps, games or other events from being scheduled on specific days (holidays, maintenance closures, staff training, etc.).

✅ Why Use Blackout Dates?

  • Ensures your events never overlap with facility closures

  • Saves time by automatically excluding blocked dates from scheduling

  • Prevents manual cleanup of conflicts later

➕ Creating a New Blackout Date

  1. From the main navigation:

    • Go to Admin > Settings > Blackout Dates

    • Or type “Blackout Dates” in the global search bar

  2. From the Class & Camp Scheduler page:

    • Click the Manage Blackout Dates button in the upper-right corner of the scheduler view

  3. Once in the Blackout Dates screen, click the ➕ Add button

  4. Select the date(s) you want to block and assign them to the correct Location(s)

  5. Save your changes

🗑️ Removing a Blackout Date

  1. Navigate to Admin > Settings > Blackout Dates

  2. Find the date you want to remove

  3. Click the 🗑️ trash can icon on the right side of the row

  4. Confirm removal

  1. Be sure to set any Blackout Dates first.

  2. Select the season you need to schedule.

  3. You can choose to schedule all at the same time because all of the classes or camps will appear once you select a season, or you can filter by a specific level or league.

  4. Each class will appear and a suggested series of classes will display according to the start date that is set at the season, league, or class level.

  5. Choose a resource and ensure the start date and time are correct.

  6. Once you have made your necessary changes put a check box next to the class name and hit the "Save Checked" button.
