πŸ“ Overview

Program Notes and Event Comments in Dash allow staff to document important details tied to programs and individual events.

Notes can be marked as Private for internal staff use or left unchecked to display publicly in the Customer Portal. Both Program Notes and Event Comments can also be included in reporting tools when needed.

Use Program Notes for roster-level details and Event Comments for information specific to a single event date or session.


πŸ’‘ When Should You Use Notes or Comments?

πŸ“’ Use Program Notes when the information applies to the entire roster or team, such as:

  • Special accommodations or reminders

  • Team requests like BYEs

  • Equipment or staffing needs

  • Ongoing communication relevant to that group

πŸ—“οΈ Use Event Comments when the information applies to a specific date or session, such as:

  • Setup details for a rental

  • Schedule adjustments

  • One-time reminders

  • Customer-specific event instructions

✍️ Note: Adding notes helps staff stay aligned, reduce miscommunication, and keep important operational details documented in one place.


πŸ“’ Program Notes

Click the arrow to add, edit, or delete Program Notes

βž• Add a Program Note

  1. Navigate to the Class, Camp, or Team.

  2. Select the Roster tab from the left-side menu.

  3. Locate the Notes section on the right side of the page.

  4. Click the + button or the + Add note to create a new note.

  5. Enter your note details.

  6. Choose whether the note should be Private.

  7. Click Create.

✍️ Note: All saved notes remain attached to that specific program roster.

✏️ Edit or Delete a Program Note

  1. Locate the existing note.

  2. Click the three-dot menu on the note.

  3. Select:

    • Edit Note to make changes.

    • Delete Note to remove it.

πŸ” Understanding the Private Checkbox

When adding a Program Note, you will see a Private checkbox.

  • βœ… Private checked - The note is visible only to staff on the admin side of Dash.

  • ⬜ Private unchecked - The note becomes a public note and will display in the Customer Portal.

✍️ Note: If a Program Note is marked as Private, a visibility icon appears next to the note in the roster. This icon indicates the note is internal and not visible to customers.


πŸ—“οΈ Event Comments

Click the arrow to add, edit, or delete Event Comments

βž• Add an Event Comment

  1. Open the specific Event.

  2. Locate the Comments panel on the right side.

  3. Click + Add to create a comment.

  4. Enter your comment.

  5. Select the Type:

    • Internal

    • Public (viewable online)

  6. Click Save.

✏️ Edit or Delete an Event Comment

  1. Locate the existing comment.

  2. Click the three-dot menu next to the comment.

  3. Select:

    • Edit to make changes.

    • Delete to remove it.

✍️ Note: Event Comments are tied only to that individual event date or session.

🌐 Understanding Internal vs Public Comments

When creating or editing an Event Comment, you must select a Type.

  • πŸ”’ Internal - The comment is visible only to staff on the admin side of Dash.

  • 🌍 Public (viewable online) - The comment will display in the Customer Portal.

✍️ Note: If you see a πŸ”’ lock icon on an existing comment, it means it was set to Internal and is not visible to customers.

πŸ”Ž Using Event Search and Bulk Edit

  1. Navigate to Event Search and Bulk Edit.

  2. Select your desired filters at the top of the page, such as:

    • Location

    • Date range

    • Resource

    • Season

    • Event Type

    • Customer

  3. Click Search Options to expand additional settings.

  4. Select one or both of the following:

    • Show event comments

    • Show team names and notes

  5. Click the Search button within the Search Options panel.

Understanding the Results

When these options are selected, additional columns will appear in the results grid:

  • Home Notes / Away Notes display Program Notes tied to the team or roster.

  • Comments display Event Comments added directly to the event.

✍️ Note:

  • If a note or comment is marked as internal, it will display with a [PRIVATE] or [INTERNAL] label in the results.

  • If it is visible to customers, it will display with a [PUBLIC] label.

πŸ“„ Using the Program Search Report

  1. Use the Global Search bar at the top of the software.

  2. Type Program Search.

  3. Select Program Search Report from the results.

  4. Select your desired filters, including:

    • Location

    • Season

    • Level, Responsible, or other optional filters as needed

  5. Check the box for Show team notes.

  6. Click Search.

Understanding the Results

When Show team notes is selected:

  • Roster notes will appear directly below each team or class in the results.

  • Each note displays:

    • The staff member who created it

    • The date and time it was added

    • The full note text

✍️ Note: This report allows you to review roster-level Program Notes across a season in one view.
