Kiosk Types and Configuration

Learn how each kiosk type works, where to configure settings, and how to share or tag kiosks for events and customer check-ins.

📝 Overview

Kiosks allow customers to create new accounts, check in, sign waivers, and manage account information without staff assistance. Depending on your needs, you can configure kiosks for full access, quick waiver collection, or event check-ins.

Use this article to understand each kiosk type, where to configure them, and how to decide which one best fits your facility.

📣 Types of Kiosks

Full Kiosk – Offers complete functionality including account creation, waiver signing, and check-ins for events or facility access.

Check-in Kiosk – Used for event or facility check-ins with passes or memberships.

Account Management Kiosk – Focuses on account management and waivers, letting customers create or update profiles and sign documents without check-in access.

Quick Account Kiosk – Provides a fast option for waiver collection or simple contact entry with minimal required information.


📍 Where to Set Configuration Settings

  1. From the global search, type “Company Settings”, or open the Admin dropdown and select Company Settings.

  2. On the left-hand side of the page, click the Kiosk & Check-in tab.

  3. You’ll see two sections on this page:

    • Alert Settings

    • Kiosk Settings

🔔 Alert Settings

This section controls which alerts are triggered when customers check in or out.

  • Enable Alerts For – toggle specific alerts to notify staff when certain conditions occur, such as:

    • Successful Check-in / Check-out

    • Customer is Suspended

    • Expired Membership or No Membership

    • Unsigned Waiver

    • Missing or Incorrectly Formatted Email

    • Account Balance or Bad Payment Information

  • Minor Check-in – choose whether to:

    User-added image

    • Allow Minor Check-in but Play Sound

    • Allow Minor Check-in

    • Don't Allow Minor Check-in

    💡 Note: The Minor Check-in Sound field will only display when Allow Minor Check-in is selected.

  • Custom Sounds – define or override the audio that plays for:

    • Minor Check-in Sound – plays only if Minor Check-in is set to Allow.

    • Check-in Sound – plays only if Enable Alerts includes Successful Check-in.

    • Check-out Sound – plays only if Enable Alerts includes Successful Check-out.

    • Alert Sound – this is the notification sound for all other alerts except successful check-ins.

💡 Tip
If no custom sound URL is entered, the default Dash sound will play automatically.

⚙️ Kiosk Settings

This section controls how kiosks behave for check-ins, membership validation, and customer access.

  • Early Check-in Limit (Minutes) – controls how long before an event a customer can check in.

  • Late Check-in Limit (Minutes) – controls how long after an event starts a check-in is allowed.

  • Require Membership or Pass to Check-in at – determines if your facility uses a Check-in Kiosk and where it’s available.

    • Type in one or more location names to enable the Check-in Kiosk for those specific locations.

    • If this field is blank, the Check-in Kiosk will not appear under your list of available kiosk types.

    • You can set this per location if you only want to allow membership or pass-based check-ins at certain facilities.

✍️ The Check-in Kiosk option only appears when at least one location is added to the Require Membership or Pass to Check-in at field in Company Settings → Kiosk & Check-in.

  • Permit Contact-Only Sign-up Via Kiosk at – allows you to select locations where customers can create a minimal “contact-only” profile for faster processing.

  • Allow Adult Birthdate Opt-Out – lets adults skip entering their birthdate during account creation.

    ⚠️ Note: This can cause issues for programs with age or birthdate requirements.

  • Include Member Card QR Code on Receipts – prints or displays a scannable QR code for customers to use during future check-ins.


🗺️ Where to Access the Kiosk Page

  1. From the global search, type “Kiosk” and select from the drop down option that appears.

  2. You’ll see a list of available kiosk types based on your configuration.

  3. The list includes:

    • Full Kiosk

    • Account Management Kiosk

    • Quick Account Kiosk

    • Check-in Kiosk (appears only when at least one location is added under Company Settings → Kiosk & Check-in → “Require Membership or Pass to Check-in at.”)

💡 Tip
If you don’t see the Check-in Kiosk option, verify that a location has been entered under the Require Membership or Pass to Check-in at field in your Kiosk Settings.

⚠️ Session Timeout Notice
If a kiosk page remains idle, a session timeout countdown will appear on screen.
A 30 second timer will appear, counting down to zero. Once expired, the kiosk automatically returns to the starting page.
This safety feature helps protect customer privacy and prevents other users from accessing someone else’s information.


🧩 Full Kiosk

📣 Quick Reminder
The Full Kiosk supports both event and facility check-ins, including walk-ins who can use passes or memberships with a 100% discount for admission.

The Full Kiosk provides customers with the most complete self-service experience.


It combines account creation, account management, and check-in features in one station. This kiosk type is ideal for facilities that want an all-in-one setup that can handle multiple tasks.

Customers can create or update accounts, sign waivers, check into events or locations using memberships or passes, and scan a QR code to log in or manage their account from their mobile device.

The Full Kiosk automatically includes options for account creation, waiver signing, and profile updates.

These options cannot be customized within the kiosk itself. Instead, they are determined by your selections in Company Settings → Kiosk & Check-in.

  • Displays all kiosk functions: account creation, waiver management, and event or facility check-in.

  • Uses the alert, sound, and check-in timing rules defined under your global Kiosk Settings.

  • Allows check-ins for customers using passes or memberships, including those with a 100% membership discount.

  • Reflects any restrictions configured globally, such as minor check-in rules or alert triggers.​

💡 Tip
Place Full Kiosks in areas where customers have more time to complete detailed steps, such as near your front desk or lobby, since the process can take slightly longer than other kiosk types.


🎟️ Check-in Kiosk

The Check-in Kiosk is designed for access and attendance tracking only.
It does not include account management or waiver signing options.

🧭 About This Kiosk

The Check-in Kiosk allows customers to check into facilities or events using valid memberships or passes. It automates attendance tracking and manages access without staff involvement.

This kiosk only appears when at least one location is listed under Company Settings → Kiosk & Check-in → “Require Membership or Pass to Check-in at.”

The Check-in Kiosk follows your global configuration in Company Settings → Kiosk & Check-in.


Its display and behavior cannot be customized inside the kiosk itself.

  • Supports membership and pass-based check-ins.

  • Uses early check-in and late check-in limits set in Kiosk Settings.

  • Applies Minor Check-in permissions defined globally.

  • Plays sounds only if the related Enable Alerts options are toggled on.

  • Displays a QR code on receipts when enabled.

  • Appears in the kiosk list only when at least one location is added in Require Membership or Pass to Check-in at.

💡 Tip
Place the Check-in Kiosk near your entrance or event area for a streamlined self-check-in experience.
This helps speed up arrivals and automatically logs attendance for eligible customers.

🔑 Enable Check-ins with Memberships or Passes

Memberships

  1. Create a membership product.

  2. Turn on Enable Check-in.

  3. In Available Locations, select the locations where the membership grants access.

Passes

  1. Create a pass product.

  2. In Available Locations, choose where the pass can be used.

  3. Turn on Enable pass to be used for facility or location check-in.

🧾 Event Check-in

When a customer checks in, the kiosk displays any upcoming events that the customer is eligible to join.

  • If the customer selects an event, they are automatically added to that event’s roster.

  • If the customer is already registered, the kiosk simply marks attendance for that event.

  • The kiosk view includes event tiles with class names, times, and availability to help customers select the correct session.

You can view all check-in activity directly through reporting in Dash.

  1. Type “Online Events” in the global search bar.

  2. In the report view, change the Event Type dropdown to Check-in.

  3. Select your desired date range to review check-ins.

This report allows you to view attendance records and confirm which customers checked in using memberships or passes.

The Account Management Kiosk is the best choice when you want customers to handle both account creation and waiver management without providing check-in access.

The Account Management Kiosk allows customers to create new accounts, edit their existing information, and sign waivers.

It also provides a QR code that customers can scan to complete account setup or waiver signing on their mobile device.

New customers start by selecting Create a New Account, then enter their profile information, contact details, and any custom fields you have enabled.


If adding a child to the account, they are prompted to enter the child’s name, birthdate, and gender before continuing to the waiver screen.

After reviewing the waiver, customers scroll to the bottom and enter their initials to sign or signature. This signed waiver and any details entered are saved automatically to the customer’s profile for future reference.

The Account Management Kiosk automatically includes options for account creation, waiver signing, and QR code access.

These options cannot be customized within the kiosk. They are determined by your global settings under Company Settings → Kiosk & Check-in.

  • Allows customers to create accounts, edit personal details, and sign waivers.

  • Prompts for waiver signature by scrolling and entering initials.

  • Supports adding children to existing accounts with required details (name, birthdate, gender) and child-specific waivers.

  • Saves all entered information and waivers to the customer’s profile automatically.

  • Reflects global alert settings, sound preferences, and any Minor Check-in rules.

  • Honors the Permit Contact-Only Sign-Up Via Kiosk setting for minimal contact-only accounts.

💡 Tip
Place the Account Management Kiosk in areas where customers may need extra time to enter details or complete waivers, such as your front desk or registration area.


Quick Account Kiosk

The Quick Account Kiosk is designed for simple, rapid interactions. It is not recommended for creating complete customer accounts or updating detailed account information.

The Quick Account Kiosk allows customers to sign waivers or confirm their information quickly with minimal data entry.
It provides a fast and efficient experience for returning customers who already have an account on file.

Customers can enter their email address to locate their account and complete required waivers.
If the email address entered does not match an existing customer, the kiosk will prompt the user to complete basic required fields such as first name, last name, email, and day phone before continuing.

If the customer adds a child to their account, they will be prompted to enter the child’s name, birthdate, and gender before proceeding to the waiver screen.
Customers will then scroll through and sign the waiver, which is automatically saved to their customer profile.

A QR code is also displayed on screen so the customer can complete the process on their mobile device.

This kiosk type is ideal for facilities that need a quick waiver station or returning-customer check-in area instead of a full account management setup.

The Quick Account Kiosk automatically includes options for waiver signing and limited account lookup.

These settings are not customizable. The kiosk’s behavior is determined by your global configuration under Company Settings → Kiosk & Check-in.

  • Enables fast waiver collection for existing customers.

  • Displays an email field for quick profile lookup.

  • If no account is found, the kiosk prompts the customer to fill out basic required contact fields to proceed.

  • Information entered, including waiver signatures, is saved to the customer’s profile for future reference.

  • Generates a QR code that lets customers complete the waiver or verification process on their phone.

  • Does not include full account creation or household management options.

  • Reflects your global alert, sound, and minor check-in settings.

Place the Quick Account Kiosk near entrances or event areas where customers need to sign waivers or confirm their contact details quickly.


🏷️ Kiosk Links and Auto Tagging

Kiosk links and auto tagging allow you to share specific kiosks with customers and automatically apply customer tags to anyone who uses them.

This feature works across all kiosk types and is especially useful for events, open houses, or quick waiver collection.

From the Kiosk selection page, you can:

  • Copy the link icon beside any kiosk type to share that kiosk link directly with customers.

    • This is useful for special events or non-program visits where you want customers to complete waivers or add contact details in advance.

    • Example: share the Quick Account Kiosk link before a birthday party or open-house day so guests can complete forms before arriving.

  • Use the Add Tags button to automatically apply a customer tag to anyone who uses that kiosk.

    • When a customer creates or updates their profile using that kiosk, the entered tag will appear on their Customer Profile → Tags section.

    • If the tag doesn’t already exist, Dash will create it automatically.

    • You can remove or change the tag at any time by clearing the Customer Tags field or entering a new tag.

📣 Example Use Case
Create a kiosk link tagged “Open House (11.25)” so every new contact using that kiosk is automatically tagged in Dash.
Later, you can filter or message those tagged customers to follow up after the event.

  • ⚠️ Verify kiosk visibility – Add at least one location under Company Settings → Kiosk & Check-in → “Require Membership or Pass to Check-in at.” if you want to use the Check-in Kiosk.

  • 🧠 Review all kiosk settings – Global options in Company Settings → Kiosk & Check-in control alerts, sounds, timing limits, and kiosk availability for every location.

  • 💬 Use the right kiosk type – Choose the Full Kiosk for complete self-service, Account Management Kiosk for profile and waiver management, or Quick Account Kiosk for fast waiver collection.

  • 📌 Share kiosk links – Copy and share kiosk links ahead of time for events, open houses, or birthday parties so customers can complete waivers and contact details before arriving.

  • 🏷️ Apply auto tagging – Use the Add Tags option on the kiosk page to automatically tag customers who use that kiosk.

  • 🧹 When your event or campaign is over, remove or replace the tag in the Customer Tags field to prevent new customers from being added to that tag group.

  • 💡 Remember – Kiosks automatically reset after 30 seconds of inactivity to protect customer privacy and return to the start screen.

Can customers use memberships instead of passes to check in?

Yes. Customers with a membership that includes a 100% discount can use it to check into eligible standalone events through the Check-in Kiosk. This allows walk-in customers with valid memberships to register or check in automatically without purchasing a separate pass.

Can customers create new accounts from any kiosk?

Full Kiosk and Account Management Kiosk support full account creation. Quick Account Kiosk can create a limited customer account when the entered email is not found, prompting for basic required fields; it is not full account creation. Check-in Kiosk does not create accounts.

Do kiosks automatically save customer information?

How do auto tags work when using kiosks?

When a tag is entered in the Customer Tags field on the opening kiosk page, that tag is automatically added to every customer who uses the kiosk. For example, you might tag the kiosk “Open House” to easily identify and contact those attendees later. When the event or campaign ends, remove or replace the tag in the Customer Tags field to prevent new customers from being added to that tag group.
